Assistant Office

TAKAYAMA is looking for its Events and consulting Company based in Paris Opera an assistant who can:

  • Prepare correspondence, obtain signatures for financial documents, invoices (internal and external) and some artwork
  • Receive and screen telephone calls and respond and/or route accordingly
  • Receive and screen high volume of internal/external communications including email and mail
  • Organize and maintain files, prepare courier and FedEx requests, order supplies
  • Coordinate, schedule and arrange meeting and travel calendars, including business and social events
  • Assist with event planning including associated travel and logistical arrangements
  • Coordinate and act as liaison with internal and external business contacts
  • Maintain and reserve Executive conference room calendar
  • Prepare conference and meeting facilities as needed
  • Greet and assist VIP visitors and key contacts, providing support as necessary and ensuring business requirements and needs are met
  • Advise, assist and coordinate on business proposals
  • Assist with media and public relations inquiries
  • Manage Executive Suite, ensuring cleanliness, functionality and maintenance of office and living area including office equipment, furniture, works of art, etc
  • Prepare daily reports.

Job requirements:

  • Able to work independently
  • Ability to prioritize and handle multiple tasks simultaneously
  • Strong organizational skills and attention to detail with excellent follow-up; work well under pressure
  • Ability to interface and maintain excellent working relationships with internal and external partners
  • Ability to interface with all levels of management and high profile associates
  • Advanced knowledge of MS Office Suite
